Background
Using the Corporate Improvement Framework, we engaged Reinvigoration to support our data transformation initiative - Programme Ocean. Through this programme we are building the first iteration of a new Data platform to modernise. The Business Analyst worked with teams across Ofwat to create process maps detailing how data flows through the organisation, from collection to utilisation in reports and data models. The exercise has been crucial for identifying risks, dependencies, and developing the functionality for our new data platform ensuring new solutions are aligned with business needs, The process maps have helped identify data usage and inform the design of a new system. By mapping data collection to publication, we could identify opportunities to streamline and automate processes. The improved processes were documented in new maps, which will also support team training and induction for new starters.
Activity
Reinvigoration and our BA facilitated a series of virtual workshops and meetings with staff across the business. Subject matter experts engaged in high-level discussions, followed by more detailed sessions to outline all steps involved in preparing key reports and data for publication. Virtual and in-person sessions included 1-1 conversations and team workshops using whiteboards and post it notes to document each step of the process. The resulting process maps were created in Visio and shared with the business teams responsible for the processes, allowing them to validate the process maps. These maps were then provided to the IT supplier developing our new data platform After revisions, the final process maps received sign-off from the business team and were stored in our repository to inform build and for future reference. This approach ensured that the data flows and report generation processes were accurately captured, helping to align the development of the new platform with business requirements.

The Impact
The process maps provided several key outcomes that have contributed to the initial development of our MVP for our new data platform.
- Visualizing Processes: They allowed us to identify gaps, risks, and bottlenecks in the user flow, helping us address potential issues that could affect the MVP’s effectiveness. Redundant steps and delays were identified, streamlining the process.
- Defining the MVP: The process maps helped clarify the minimum features required to solve the core problem, providing a tangible scope for the MVP, and preventing feature creep by focusing on essential functionality
- Optimizing Resource Use: By emphasizing critical workflows and features, the map's ensured resources were used efficiently.
- Supporting User Journeys: The maps helped outline how users would interact with the MVP, from onboarding to task completion, ensuring the system was designed to meet user needs.
- Internal Workflow Mapping: The process maps highlighted how the team would develop, test, and deploy features, revealing dependencies and bottlenecks that could hinder progress.
The impact of the resource played a crucial role in streamlining development, aligning priorities, and ensuring efficient resource allocation for the successful delivery of our MVP.
